Use Automation features in the Actions tab to perform tasks such as automating onboarding experiences, running recertification programs, customizing adaptive and sequential learning, and content equivalency. 

These actions include:

  • Customizing emails to students
  • Adding students to selected groups after certain criteria are met. 
  • Removing students from groups after certain criteria are met
  • Enrolling Students into newly published content (courses, plans, path) when certain criteria are met

Example: Customize the email template that is sent to a student after they register for the content.

  • Note: Actions will be applied to all students who meet the time delay requirements, regardless of the registration and completion date. For example: if you schedule an engagement action email for 7 days after registration, a student who registered 5 days ago will still receive the email on the 7th day. Similarly, if you add a post-completion action to "add to group" or enroll in content after 2 years, students who have completed that course within the last 2 years would all be subject to the new action when they reach the specified time delay for their enrollment.

Available Actions

Email Student

You can customize the emails that are sent out to students when they meet an action’s criteria. These emails are sent to the student to confirm their registration, remind them about the content, confirm their completion of the content, and provide them with post-completion information.

To select or customize student emails: 

  1. Select Email Student (or Email Student on Completion within Completion Actions).
  2. To create a new email template, select from existing templates or select the Create New Template button to create the email template.
  3. Edit the template name, subjects, and email body as needed (for more information about the customization variables, see Email Customization Variables). When you’re finished, select Save to save the new action.
  4. If you want to select a different template or edit the selected template, select the template and then the ellipsis icon (...) to open the menu.

Email on Failed Completion

You can send an email to the student when they complete the content with a failing grade within the Completion Actions section. 

You can customize your email by selecting Create New Template, selecting a default template, or choosing/editing an existing one. For more information about how to create an email template, see our Customize Email Notifications article.

  • Note: Emails to students upon failed completion will only be sent if the Course Score setting within your course's settings is set to Mark the course as complete if the student passes or fails. Otherwise, emails will only be sent to students who successfully pass upon completion.

Custom Emails with Completion/Post Completion Triggers

Emails in the Completion and Post-Completion sections can be triggered based on the learner's completion criteria. 

This allows you to customize the experience depending on whether the learner passes or fails the course.

Add to Group

Selecting Add to Group allows you to add students to groups when this action is triggered (such as registering). 

Some actions may require you to select a trigger, such as a completion status. To read more about triggers, see the Triggers section below. 

To automatically add a student to a group depending on the chosen action and triggers:

  1. Select the group from the list on the left and then select the > icon to move it to the right list.



  2. To add another group, repeat the step above. 
  3. When you’re done, select Save to finish.

Remove from Group

Selecting Remove from Group allows you to remove students from groups when this action is triggered (such as registering). 

Some actions may require you to select a trigger, such as a completion status. To read more about triggers, see the Triggers section below. 

To automatically remove a student to a group depending on the chosen action and triggers:

  1. Select the group from the list on the left and then select the > icon to move it to the right list.



  2. To add another group, repeat the step above. 
  3. When you’re done, select Save to finish.

Note: It is not recommended to select the same group for “Add to Group” and “Remove from Group” in a single Registration / Completion action. This order of operation is not guaranteed, and the learner experience may be inconsistent. If the same groups are selected, a warning message will pop up to let you know this may result in a poor learner experience.

Enroll in Content

Selecting Enroll in Content allows you to automatically enroll students in other published content, such as published courses, plans, and learning paths after they’ve met the action’s criteria. For example, after the student has completed the original content they will be enrolled in the next piece of content in your onboarding series. To do this, select the next course you want your learners to take within this configuration. 

Note: Make sure you select your published course from the correct domain - Students need a valid domain membership to be enrolled in any domain-specific objects. This Enrollment Action will ignore any prerequisites or registration costs, and a new enrollment will be created even if the learner already has an active enrollment for that object. Learn more here

Some actions may require you to select a trigger, such as enrolling students in the content a chosen number of days after they have registered.   

To automatically enroll a student in content depending on the chosen action and triggers:

  1. Select the content from the list on the left and then select the > icon to move it to the right list.



  2. To add another content type, repeat the above step.
  3. When you’re finished select Save to finish. 

To remove the content, select it from the list on the right and then press the < icon. When you’re finished, select Save

Issue Certification on Successful Completion

Selecting Issue Certification on Successful Completion allows you to automatically issue a certificate to the student after they’ve successfully completed the content. You can choose an existing certificate or create a new one by selecting Create New Template. To learn more about certificates and how to create them, see our Certificate help articles

Triggers

Some actions have distinct triggers. To trigger your chosen actions, students must meet the required criteria, such as meeting the time delay, or based on Completion Status (passing/failing the content). 

Scheduled Actions

Engagement and Post Completion Emails have a time delay, which needs to be configured when setting up these actions. 

These are configured by inputting the desired number of days that Skilljar will wait from the Registration/Completion timestamp before the configured action occurs. 

 

Example: If an Engagement Email is set for five days, the Action will run five days after the registration timestamp. This action should trigger within the same hour of the learner registration, but there is minor variability due to how these actions are batched.

Completion status

Completion actions can be triggered depending on the student’s pass or fail status. Select the completion status to trigger the criteria for the student to be added or removed from groups, or to be enrolled in other content. 

The statuses you can select are:

  • If students complete (pass or fail) the content.
  • If students pass the content.
  • If students fail the content. 

Select the desired trigger before selecting the groups/content, and then select Save to apply the change.
