What are Scheduled Reports?

Scheduled Reports allow admins to automate the delivery of Custom Enrollment Report CSV's to specific email recipients on a regular schedule. Once set up, these reports are sent automatically, keeping recipients up to date with training data without needing to contact a Dashboard Admin.

What reports can be scheduled? Customers can send custom enrollment reports containing data on student enrollments with customizable data columns, accessible in the Skilljar dashboard under Analytics → Enrollments. These reports will be sent directly to the list of users as a CSV, without requiring access to the Skilljar Dashboard.

Admin Experience:

Admins can setup a schedule on existing and new custom Enrollment reports to be sent to a list of up to 20 email addresses on a recurring basis.

This schedule / email list can be configured for every saved custom report, and there is no limit to the number of reports that can be saved/scheduled in the dashboard.

The report will match the data that is filtered and saved in this custom report - more details on what can be saved in a custom report can be found here: Enrollments Analytics

Schedule Settings:

  1. Select which domain you want this email to be branded from
    • This will NOT filter any of the report data, but will determine which domain’s branding is used when sending the email to this list of email recipients
  2. Add up to 20 valid email addresses where this data will be sent to
    • These users do not need to have a dashboard login to access this data download. 
  3. Set when this email will be sent
    1. Monthly (on the 1st or 15th)

    2. Weekly (select a weekday)

After applying the schedule settings, the Custom report with this schedule STILL has to be saved before this email will start sending. Be sure to save the report after adding a schedule.

These Reports will generate and send a CSV with the custom report’s filters and data on a weekly or monthly basis.

Once setup - it is possible can see which of their reports has a schedule, and when looking at a report that is scheduled, they can see how many recipients/when this report will be sent.

If a Recipient Unsubscribes:

When a recipient unsubscribes from one of your reports, this will be captured in the Dashboard Audit log.

If you get questions on why someone has stopped receiving the regular email with this data, the Audit log will help you determine if they had unsubscribed from a previous email that they had been receiving.

Email Recipient Experience:

The emailed recipient will be able to Download the CSV from their email to gain access to the relevant data that they are looking for. They do not need to be able to login to the dashboard to receive this email, so this is possible to schedule and send to external users who are interested in specific custom report data directly.

The emailed recipient is also able to unsubscribe from this report if they no longer want to receive this data on a recurring basis.

FAQs:

  • Can recipients unsubscribe from receiving scheduled emails?
    • Yes, there is an option for recipients to unsubscribe from future emails at the bottom of the email
  • Where can users configure a scheduled report?
    • Analytics → Enrollments → Calendar icon directly next to the students filter
  • When can reports be scheduled for?
    • Once per month, on either the 1st or the 15th of the month
    • Once per week, on any day of the week Monday through Sunday
  • How many recipients can receive a single scheduled report?
    • We limit the recipient count to 20 recipients per email, if a user enters more than 20 email addresses an error message will be shown.
  • Does creating a scheduled report appear in the audit log? 
    • No, but the unsubscribe action does appear in the audit log
