Using Labels

Use labels to organize your Skilljar dashboard content, making information easier to find and search for. 

What are labels?

Labels can be created and associated with content within your Skilljar dashboard and can be used to easily search and filter objects, including: 

  • Courses
  • Catalog Pages
  • Learning Paths
  • Plans
  • Assets

Labels can only be viewed within your dashboard and aren’t visible to students. 

Why Use Labels?

  • Simplified content management: The improved Labels feature streamlines content organization, making it easier to manage internationalized programs and training in multiple languages.
  • Extended applicability: Labels can be applied to a range of objects, including courses, catalogs, learning paths, plans, and assets, enabling more effective content selection when building training site structures.
  • Enhanced search and filtering: You can search and filter the list of items by available labels on the dashboard page and the Content & Order SwapList widget in Catalog Page Settings, Path Publishing Settings, and Plan Settings.

Managing Labels

As a Global Admin, you have the ability to perform bulk operations such as applying labels to multiple objects at once, as well as editing and deleting labels if they were created incorrectly. This functionality is designed to help you manage your labels from a central location, similar to how you manage tags.

This guide will walk you through the features and steps involved in managing labels, including navigating to the Label Manager, creating, editing, deleting, and applying labels.

To access the Labels Management:

  1. Log in to your Dashboard.
  2. From the Dashboard Menu, navigate to the “Organization” section.
  3. Click on “Labels”.

Viewing Labels

In Labels Management, you will see a table that lists all your labels and the objects they are applied to. The table includes the following columns:

  • Courses
  • Catalog Pages
  • Plans
  • Paths
  • Assets

You can search for a specific label using the search bar. The search function works across all columns, allowing you to quickly find the label you need.

Creating a New Label

To create a new label:

  1. Click the “Create New Label” button.
  2. Enter the label name in the provided field.
  3. Click “Save” to create the label.

Deleting a Label

To delete a label:

  1. Locate the label in the table.
  2. Click the delete icon next to the label.
  3. Confirm the deletion when prompted.

Note: When a label is deleted, we also delete the records of which entities the label was associated with. We do not delete anything beyond this.

Editing a Label

To edit a label:

  1. Click on the label name in the table. This will open a new page for editing the label.
  2. Edit the label name as needed.
  3. Apply the label to any of your objects that can have label relationships (courses, paths, plans, assets, quizzes, question banks, and syndication configurations).
  4. You can save your changes by clicking “Save” or “Save and Continue.” To discard changes, click “Cancel.”

Applying Labels to Multiple Objects

To apply a label to or remove a label from multiple objects in one operation:

  1. Select the objects you want to apply or remove the label from.
  2. Choose the appropriate label operation (apply or remove).
  3. Confirm the action to apply or remove the label from the selected objects.

 

Other Ways to Manage Labels

Create and add labels to a catalog page, path, or plan.  

You can create labels from within your Skilljar dashboard by following the below steps. 

  1. Go to your Skilljar dashboard, expand the Organization header on the left, and select Labels to open the label page.
  2. Select New Label to add a new label, or select a label name to edit a label’s settings.
  3. In the Labels section, type the label(s) name you want to add. Enter one label per line.
  4. Choose which section you want to edit (Catalog pages, plans, published paths, published courses, and events), and select the plus (+) sign next to your choice to expand for more options. 
  5. Select the topic you want to associate the label(s) with. For example, if you selected Published Courses, select the course(s) you want to associate the label with.
  6. Select Save to finish or Save and Continue Editing to save and add more labels.

This will apply the label to the content and can be used to search and filter for it.

You can add labels to other content later by searching for it.

For example, a label created for a plan can later be applied to a path by searching for it in the path settings.

  1. Select Domains & Publishing from your home page, or expand the Domains and Publishing header on the left and select Domains
  2. Find the domain with the content you want to manage and then select the catalog page, plan, path, or published course that you want to create a label for. 
  3. Select the content you want to add the label to from the list (for example, if it’s a plan, select the plan from the list). 
  4. Scroll down to the bottom of the page, plan, path, or course to the Labels header, and select Manage Labels.



  5. On the flyout screen, in the text box, type in the name of the label you want to create and press Enter, or add a comma after each label to create another one.
    • To delete the label, select the X
  6. Select Save to finish.



  7. You can see all the labels you created from within the labels box.



  8. When you’re finished, select Save and Continue Editing or Save.

Create and add labels to a course

  1. Select Course Management from your home page, or expand the Course Management header on the left and select Courses.
  2. Select the course you want to manage.
  3. Select the Details tab.



  4. Scroll down to Labels and select Manage Labels.
  5. On the flyout screen, in the text box, type in the name of the label you want to add. 
  6. Select Save to finish. 

You can see all the labels you created from within the labels box.

You can also manage course labels from your Course Management page by selecting the ellipses next to the course and then selecting Manage Labels

Create and add labels to an asset.

  1. Expand the Course Management header on the left and select Assets.
  2. Select the asset you want to manage
  3. Scroll down to Labels and select Manage Labels.
  4. On the flyout screen, in the text box, type in the name of the label you want to add. 
  5. Select Save to finish. 

You can see all the labels you created from within the labels box.

Filtering for specific catalog pages, courses, paths, and plans

You can easily find courses, catalog pages, paths, and plans with specific labels by using the Labels filter on the item’s management page.

Note: The Labels filter is content specific. For example, the paths page only filters for path labels.  

  1. Select Domains & Publishing from your home page, or expand the Domains and Publishing header on the left and select Domains
  2. Find the domain with the content you want to manage and then select Catalog Page, Plan, or Path
  3. Select the Labels filter and the desired labels. 
  4. Select Apply to add the filter.

The list will then show the items with your selected labels. 

Note: The Course label filtering logic uses AND logic when multiple labels are selected. The search will only display courses that have the exact labels assigned.

Example: 

  • Course 1 has A, B, C labels.
  • Course 2 has A, B, C labels.
  • Course 3 has A, B labels.
    - You select A and B labels to filter on. All three courses will appear in the result. However, if you select A, B, and C, labels only Course 1 and Course 2 will display in the results.

FAQ

Are labels case-sensitive?

Yes, they are. For example, using "VILT" vs "vilt" will result in two distinct labels being created.

How many labels can be applied?

You can apply up to 64 labels per individual item. There is also a limit of 5000 labels per organization.

Who can manage and edit labels? 

Skilljar dashboard admins and content managers can add, edit, and remove labels.

Can I copy and paste a list of labels?

Yes! We support copy & paste, typeahead auto-complete/auto-suggest functionality.
